8:00 am – 5:00 pm; Monday – Friday with occasional evening and weekend hours required, as necessary.
Primary Purpose of Position
The Associate Director of Projects and Administration is an integral part of the leadership team of the Student Activity Center and Venue Management department. The Associate Director is responsible for providing strategic leadership and vision for all aspects of the operations, venues, and event management for the Student Activity Center and Venue Management/Athletic Facilities department. He/She reports to the Director and assists with the daily operations of the department in conjunction with and in absence of the Director. Will serve as a lead in the daily operations of the department. He/She is responsible for assisting in establishing an overall cohesive staff and operation between all entities of the SACVM/Athletic Facilities and Events department (Operations, Events, and Athletic Facilities). Will have direct responsibility for establishing cross training of department staff, professional development, mandatory safety and other similar staff training, and departmental billing.
Minimum Education/Experience
Required Minimum Qualifications:
Bachelor’s degree and three years of experience in the area of assignment, of which at least one is supervisory or in a lead-worker capacity; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
University Preferred Qualifications:
Graduation from a four year college or university and at least three years of program administration experience, including at least one year of supervision; or an equivalent combination of training and experience.

Essential Job Duties
- Manage operating budgets, in conjunction with the Associate Athletic Director and staff, including fee-funded and revenue-producing initiatives (labor, equipment, supplies, utilities, etc.).
- Assist the Associate Athletic Director with budget projections for reserve accounts.
- Promote collaboration between units inside of SACVM Athletic Facilities department in order to maximize resources (personnel, equipment, supplies, etc.)
- Serve as a leader in the daily management of the SACVM Athletic Facilities department to ensure that operations/events run smoothly and safely, providing a high level of service and knowledge that sets a campus standard for excellence.
- Coordinate the review and negotiation of all contracts/RFPs with the Associate Athletic Director to ensure compliance with all laws and University policies.
- Serve as a departmental lead for all human resource functions, directly or indirectly, for permanent staff, including, but not limited to position description development, selection, hiring, training, supervision, evaluation, counseling, and grievance resolution.
- Serve as a departmental lead, officially representing the department as necessary and in the absence of the Associate Athletic Director.
Other Work Responsibilities
- As a “Mandatory” position, report to SACVM Athletic Facilities venues, as well as schedule appropriate staff, to assist during adverse weather for all operational needs.
- Develop a cross-training program for staff to ensure department operations continue seamlessly in the event of staff turnover or extended absences.
- Manage professional development opportunities for staff and coordinate all staff training (safety, risk management, Human Resources, etc.). Counsel staff for career development and recommend opportunities for growth and advancement.
- Serve as a lead for project management in SACVM and corresponding Athletic Facilities.
- Will serve in the rotation as Manager on Duty for major events.
- Assist in establishing best practices for billing, invoicing, and collections for the department.
- Provide exceptional service to all users and users of SACVM Athletic Facilities. Consistently seek ways to improve departmental processes to better serve clientele efficiently and effectively with a positive attitude.
- Advise the Associate Athletic Director on ways to promote team building across units and on multiple shifts.
- Advise the Associate Athletic Director on opportunities to collaborate with other campus departments to provide more resources for student employees and to coordinate student-focused programming.
Departmental Preferred Experience, Skills, Training/Education
- Master’s degree in recreation, sport management, higher education administration, or related field.
- Minimum five years of work experience in progressive responsibilities and supervision of personnel in an event, athletic, recreational, or multi-use environment.
- Experience recruiting, interviewing, hiring, training, developing, supervising, and disciplining full-time employees.
- Experience in a collegiate athletic facility.
- Demonstrated experience with large attendance or high-profile events.
- Demonstrated experience in budgeting, risk management, operations, project and/or facility management, and event technology.
- Demonstrated knowledge of national trends and best practices in athletic, event, or student-oriented venue management.
- The ability to work independently in the accomplishment of established goals and objectives.
- Ability to work flexible hours including evenings and weekends as necessary.
