The Project Coordinator is responsible for the planning, production, coordination, and distribution of marketing projects, communications, and materials. Coordinates the workflow and project timelines of the department's creative production staff. This position reports to the executive director of marketing.
Major Responsibilities:

- Setting and tracking priorities for marketing jobs in progress, including assigning deadlines for project elements to internal production staff and external vendors
- Guides internal University partners in the efficient use of department resources. Helps departments select and use basic communication tools and templates for self-service on small projects.
- Utilizes standards and protocols to work with faculty and staff to produce their marketing publications while upholding Valparaiso University's identity
- Maintains records of previous projects, digital asset management platform, and project management platform
- Manage project intake, enter project details into the project management platform, assign deadlines in accordance with partner expectations and team capacity
- Serve as a first review in the internal quality control process to ensure the project meets specified requirements and adheres to university editorial style guidelines
- Obtain print quotes, submit final project files to print vendors, and review vendor proofs
- Coordinate with campus mail center to submit audience lists, ensure mailings are delivered on time, and maintain inventory
- Other duties as assigned
Required Knowledge and Skills:
- Excellent organizational skills and ability to manage and coordinate multiple projects concurrently, meeting established timelines, quality, and cost objectives
- Competency in writing, editing, and/or design
- Knowledge of basic graphic design and personal computing systems
- At least three years of experience in coordinating various project elements to result in a finished product
Preferred:
- Knowledge of college admissions and recruitment practices
