Administrative Assistant

Under direction of the General Manager and the Vermont Creamery Leadership Team, the Administrative Assistant is responsible for all office administration. Duties include providing support to office staff and operations staff, as well as managing daily office needs.

Wage: $27/hr.

Schedule: Monday-Friday

8AM-4PM (flexible)

Required Qualifications & Experiences

  • 18 years or older and High school or GED.
  • Experience with Microsoft office including PowerPoint, excel and word.
  • Professional verbal and written communication; understands nuance and adapts communication style based on audience and situation.
  • Demonstrates composure under pressure and good decision-making skills.
  • Detail oriented and driven to deliver work with the highest degree of accuracy.
  • Demonstrates agility and able to change work priorities at a moment’s notice.
  • Strong planning, organizational, time and project management skills.
  • Ability to handle multiple tasks concurrently and to set priorities.
  • Ability to combine multiple sources of information to make daily business decisions.

Preferred Qualifications & Experiences

  • 1+ years of continuous prior experience in any industry.
  • Self-Reliant and able to accurately work under limited supervision.
  • Customer focused and able to work in a collaborative team.
  • Able to be flexible in work performed and schedule.

Essential Functions & Responsibilities

  • Supports Vermont Creamery General Manager with administrative support, including calendar and travel management.
  • Answers telephone and directs incoming calls.
  • Manages sample shipment process to support sales, marketing, and awards/events, including shipment tracking and problem solving.
  • Provides welcoming reception to visitors, vendors, and customers. Manages the sign-in process for all non-Vermont Creamery employees.
  • Retrieves and sorts incoming mail and drops off outgoing mail daily.
  • Responds to email questions, concerns, etc.
  • Filing as needed, such as customer credits, customer invoices, accounts payable, employee file etc.
  • Orders office supplies and manages inventory for entire company.
  • Coordinates on-site lunches including meal plan, grocery shop, assembly of food in an appealing manner, and clean up.
  • Ensures proper supplies are available in all general areas including meeting rooms, bathrooms, and break rooms.
  • Owner of all meeting room space including coordinating the schedule for meetings and managing incoming requests and any conflict.
  • Provides basic technical support to office team, i.e. conferencing technology.
  • Coordinated new employee set up including internal systems set up and equipment (PPE) needs.
  • Ensures the common areas are neat and organized.
  • Supports office staff projects, and all business administrative duties as needed.
  • Supports employee engagement activities including events, all staff meetings, communications, etc. as needed.
  • Other duties as assigned.

Essential Physical Requirements

  • Frequent movement including walking, standing, bending/stooping, turning, twisting, pushing, pulling, raising arms, lifting, climbing and other active movements.
  • Performing duties while wearing personal protective equipment when in a factory setting.
